Terms of service

Effective October 28, 2026

These terms cover the OfficialCrew website at officialcrew.app and the app at app.officialcrew.app (together, “OfficialCrew”). Phynite Solutions, LLC (“Phynite”, “we”, “us”) provides it. By using OfficialCrew you agree to these terms and to our privacy policy. If you use it for a league, you confirm you’re allowed to accept these terms for that league.

If your league has signed a separate agreement with us, that agreement wins where it differs from these terms.

What OfficialCrew is

OfficialCrew helps youth leagues schedule umpires and pay them. Umpires claim open games, the umpire-in-chief manages coverage, and the league pays umpires through a payouts provider.

OfficialCrew is a tool. Your league decides who umpires, which rules apply, what games pay and whether to pay. The league, not Phynite, employs or contracts its umpires and is the payer of record. Umpires are not employees or contractors of Phynite.

OfficialCrew is not affiliated with, endorsed by or sponsored by Little League, Sports Connect or any other league or organization named on our site.

Early access

OfficialCrew is in early access. Features may change, and we may pause or end early access, with notice where we can. Fees, if any, are agreed with your league in writing before they apply.

Accounts

  • Your league invites you. Keep your email and devices secure, because a sign-in code or passkey gets into your account.
  • Give accurate information, and keep it current, especially certifications, availability and the details your league asks for.
  • You must be 13 or older. Umpires under 18 need a parent or guardian’s approval before taking games, and the parent or guardian agrees to these terms for them.
  • Tell us right away at hello@officialcrew.app if you think someone else is using your account.

Acceptable use

Don’t:

  • Use OfficialCrew to harass anyone, or to contact a minor outside what the app allows.
  • Claim games you don’t intend to work, or mark games worked that weren’t.
  • Access accounts, leagues or data that aren’t yours, or try to get around permissions, limits or safety rules.
  • Probe, scan, overload or reverse engineer the service, or use bots to claim games.
  • Upload anything unlawful, or anything you don’t have the right to share.

We may suspend accounts that break these rules, and we’ll tell the league.

Leagues

A league using OfficialCrew is responsible for:

  • Its schedules, rules, pay rates and decisions about umpires.
  • Inviting only people it’s allowed to, and keeping its member list current.
  • Checking umpire eligibility its own way (background checks, training, certifications), including any requirements of its governing body. OfficialCrew records the dates you enter but doesn’t run checks.
  • Funding payouts, approving them, and its own tax reporting.

Payments to umpires

Umpire payments are sent by our third-party payouts provider for the league. To get paid, umpires, or guardians for minors, set up an account with that provider and accept its terms. Phynite doesn’t hold league funds and isn’t responsible for the provider’s delays or errors. If a payment goes wrong, contact your league first. We’ll help it work with the provider.

Messages

OfficialCrew sends push notifications, emails and, if you opt in, text messages about your games and pay. For texts, message and data rates may apply. Reply STOP to stop or HELP for help.

Your content and ours

  • Your league owns its schedules, rosters and records. You own your profile information. You let us use them only to run OfficialCrew for you and your league, as our privacy policy describes.
  • We own OfficialCrew: the software, design, name and logos. You may not copy or resell it.
  • If you send us ideas or feedback, we may use them without owing you anything.

Availability and changes

We work to keep OfficialCrew running and your data safe, but we can’t promise it will always be available or error free. Always check your league’s official schedule if something looks wrong. We may change features, and we’ll give notice of changes that matter.

Disclaimers

OfficialCrew is provided “as is” and “as available”. To the extent the law allows, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We’re not responsible for games that go uncovered, decisions your league makes, or the conduct of anyone at a game.

Limits on liability

To the extent the law allows, Phynite won’t be liable for indirect, incidental, special, consequential or punitive damages, or lost profits or data. Our total liability for any claim about OfficialCrew is limited to the greater of what you or your league paid us in the 12 months before the claim, or $100.

Indemnity

If your use of OfficialCrew breaks these terms or the law and someone makes a claim against us because of it, you or your league will cover our reasonable costs of that claim.

Ending

You can stop using OfficialCrew at any time, and a league can ask us to close its account. We may suspend or end access for a serious or repeated breach of these terms, or if we end the service, with notice where we can. When an account closes, we handle data as our privacy policy describes.

Law and disputes

Texas law governs these terms, without regard to conflict of law rules. Disputes go to the state or federal courts in Bexar County, Texas, unless your league’s agreement says otherwise. Before filing anything, contact us at hello@officialcrew.app, and we’ll try to resolve it informally within 30 days.

Changes to these terms

We may update these terms. We’ll post changes here and update the date at the top. If a change matters, we’ll tell you before it takes effect, and continuing to use OfficialCrew after that means you accept it.
